Customer card

The customer card contains all orders connected to the customer (sold, reserved, deleted), the customer information (contact details, tags and descriptions) and order history. 


Customer information 

Contact information

Click on the top bar of the Customer Card to view and edit the customer's contact details and to connect a web user. When changes have been made, don't forget to click Save.

Alternative emails

In the customer card alternative emails can be added which are visible in the customer report. 

Description / Internal note

A description is an internal note of the customer, which is only visible and editable inside the customer card for those working in Box Office. The not will also be included in the customer report. 

When a customer card has a description, a green appears in the top right corner of the customer card. When hovering the icon, the note is displayed.

Web User

If there is a globe icon next to the customer's name, it means there is a web user connected to the customer card. When hovering the globe icon the connected web user email will appear. If you wish to connect a web user to the customer, click the blue button Connect (other) web userA popup will appear where you can search for a web user by name, email or phone number. Choose a web user and click Set web user. When the web user is already connected to another customer card, you'll get a message and the option to merge both customer cards.

Export

If activated on the workgroup an export button can be made available on the customer card. This allows Box Office users to export all data that is included in a customer card. 

The export also includes the internal description, so edit or remove the description before exporting the customer data. 

Anonymise

If activated on the workgroup an anonymise button can be made available on the customer card. This allows Box Office users to anonymise a customer. All customer information will be removed, except for the postcode and city. The name will be replaced with Manual GDPR followed by the postcode and city. A note is added to the description field, so it's clear this customer was anonymised. 

Customer tags

Click the icon below the customer information to add a customer tag to a customer card, select the tag and click Save.

There is a small search filter (even though it doesn't seem like it) in the customer labels when you add them from the customer card. Open the dropdown so that all labels become visible. Type in the first letter of the label and the system will jump to the first label the system finds with that initial letter. If you then search the same letter again, the system will jump to the 2nd label.

Clicking on the label of a tag allows you to see when the tag was connected to the customer and when / if it will automatically expire at one point. It also shows the benefits connected to the customer tag and the usage of the benefit. Customer tags can be manually removed from customer cards by clicking on the Remove Tag button.

Permissions

To add or remove a permission from a customer card, click the envelope icon below the customer information and switch to toggle to yes or no.

Orders & Reservations

On the customer card all orders connected to the customer will appear. The order cards have different icons and colours on them. When the icon is green it means the order is sold, when the icon is yellow it's still a reservation.

    1. Sold / reserved online.
  2. Person icon

    1. Sold / reserved in Box Office in person.

  3. Phone icon

    1. Sold / reserved in Box Office over the phone. 

  4. Wifi icon

    1. Sold / reserved via the POS API. 

  5. Refresh icon

    1. Subscription renewal order/reservation.

On the order card you can also see what the order contains, the order number, price and any subscription / membership tags. 

Just below the customer information there are two buttons. The customer card shows all upcoming orders by default, by clicking on the calendar icon next to the Events button you can look at past orders. Deleted orders shows orders that have been deleted, but clicking on the bin icon also allows you to look at the deleted reservations.

Sell/Reserve

You can also sell or reserve tickets, products, subscriptions, gift cards, memberships and donations straight from the customer card by clicking Sell/Reserve. Click on the price tag icon to select which item you want to sell or reserve.

Memberships

The customer card shows which active memberships the customer has and this label allows you to administrate the membership.

360 Customer Overview

Clicking on the graph icon opens up the 360 customer overview. This is a dashboard that provides a complete picture of the purchase behaviour.


Organisations

When a workgroup includes multiple organisations, a customer card will only be linked to an organisation when they have made an order with the organisation. Customers that are not connected to the same organisation as the organisation(s) a user has access to will still be found when searching. However, they will not appear in the CRM API and the customer module where a list of customer data can be retrieved.

This information can only be viewed by certain user types (WorkGroup Administrator).
