Allocations
Seats can be allocated to be blocked for all sales or to be held back from the general online sale. Tixly has two different types of allocations:
- Hard (blocked) allocation, these seats will not be sold and are deducted from the hall capacity. For example; sound desk, camera or wheelchair kill.
- Soft allocation, these seats are reserved for specific groups of customers. They can't be sold in the general online sales, but they are available online via a special offer link or subscription. For example; access seats, sponsor, house seats and press.
Create allocation
To create an allocation, navigate to Administration > Venues > Allocations and click Add allocation in the top right corner.
Information
Name
- Name of the allocation
Abbreviation
- Abbreviation of 1 or 2 letters, shown on the seat map if no icon is selected.
Icon
- An icon can be selected to be shown on the seat map.
Blocked
- Define if the seat should be blocked, these seats will be deducted from the hall capacity and are also hidden in the online buying flow.
Has default expiration
- The allocation can automatically be released x hours before the start of the event. If set on allocation level it will apply to all events the allocation is added to. It is also possible to define the expiry date on event level when adding the allocation.
Scanning
Set scan notification to yes if you want to add a note. Then when a ticket with a scan notification is scanned, the configured message will show up at the top of the screen. There are two levels of severity: normal and severe, which defines how the message is displayed. The pop up either disappears after a few seconds (normal) or stays displayed until the next scan (severe).
Access Rights
It is possible to enable access rights for allocations. This allows you to define which specific users should have access to the allocation. If no users are selected, all users with sales access will have access to the allocation, provided they have access to an event that uses the allocation.
Allocate seats
Numbered hall
To allocate seats, navigate to the sales view of an event, select the seats that should be allocated and click Allocate in the bottom right corner.
The next step is to select the allocation to be connected to the seats. If you would like to use an alternative name for the allocations it can be set under Allocation name (e.g. if for these specific seats you want the allocation VIP to be named VIP - Mamma Mia). It is also possible to set if the allocation should expire at a specific date and time by switching Expires to yes and then selecting the time. Once all the settings have been set, click Save.
Unnumbered hall
To allocate capacity in an unnumbered hall, first select the number of tickets that should be allocated. It does not matter which ticket type is used to select the tickets. When the desired number of tickets have been selected, click Allocate in the bottom right corner and apply settings and rules the same way as with allocations in a numbered hall.
At the top just below the price zone field, there will now be a box for each allocation that has been added to the event. There is also a number in the same box, indicating how many tickets that are still available in the allocation.
Remove allocation
To release allocated seats, regardless of whether the hall is numbered or unnumbered, select the allocated seats, click Allocate and choose Clear allocation.
Statistics
In the event sales view you can click on the blocked icon in the bottom right corner to view detailed allocation statistics for the event.
This overview will show you when allocations expire, how many tickets are in the allocation and the sales statistics of the allocations.
Copy allocations to other events
It is possible to create allocations in one event and then copy them to other events, to the configuration of the hall, or to create a new configuration based on the changes you have made.
Sell tickets from an allocation in special offer
It is possible to sell tickets from a specific allocation directly in a special offer. This makes it possible to offer a spe group of customer selected seats or discounted single seats.
