Ticket Sales
The reporting module offers several sales reports that provide insights into ticket sales. This article explores various reports that display ticket sales based on different parameters and filters. The key reports for tracking ticket sales include:
Daily Sales
The Daily Sales Report is the most commonly used sales report. It displays sales for events, grouped by dates or event groups, based on the transaction period and/or the event date period.
Date
- Select the date range that should be included in the report.
Event Filter
- Select specific events to include in the report by adding them to the filter. If no event filter is applied, the report will include all events. You can also apply an additional date filter under the event filter. By combining the transaction and event date filters, the report can display tickets sold in January for an event scheduled in February.
Report type
- Choose what type of report should be uses, either by sales date or by event date. Also choose if the report should group events by event group or not (one row per event group or event date).
- By Sales Date: Shows total sales for all events chosen in the event filter during the date interval specified in Date.
- By Event Date: Shows sales for all events that have been or will be held during the date interval specified in Date.
- Choose what type of report should be uses, either by sales date or by event date. Also choose if the report should group events by event group or not (one row per event group or event date).
Allocation filter
- The allocation filter allows you to include or exclude specific allocations. The include option will only show sales of the selected allocation(s), the exclude option will show all sales except for the selected allocation(s).
The report can be configured by Tixly Support to either show or hide the VAT columns.
By Sales Date
1. Graph
When the report is generated with By Sales Date as the type, it will display a graph illustrating sales during the specified date range. One line represents revenue, while the other shows the number of tickets sold, including free tickets.
2. Event sales
The next section of the report provides sales figures, including the number of sold tickets, free tickets, total tickets, and revenue per event date or event group, depending on the selected report type.
3. Ticket Type sales
Shows the tickets sold and revenue per ticket type for all events combined. To view ticket type sales for a specific event, either generate the report using the event filter (selecting only the desired event) or use the Event Overview Report.
4. User sales
Shows tickets sold and revenue per user for all events combined. To see user sales for a specific event, either generate the report using the event filter (selecting only the desired event), or use the Event Overview Report or Cashier Report.
5. Sales per day
This table displays sales per day for all events combined within the selected date range. You can sort the column by clicking on the header of the column.
6. Organisation
When the workgroup contains multiple organisations this table will show the sales per organisation.
7. Skin
When the workgroup contains multiple skins this table will show the sales per skin. The none represents the orders that were sold in Box Office.
By Event date - Occupancy report
When the report type is set to by event date, the specified date range will represent the dates when the events are held, not the transaction period. For example, if the date range is defined as 1 January to 31 January, the report will show all sales for events taking place in January.
The top table reflects the same information that is included in the promotor dashboard and resembles an occupancy report. It shows the number of sold tickets, free tickets, total tickets, as well as the capacity and availability.
Below the first table, you will find the same breakdown as in By Sales Date, showing sales per ticket type, user, organisation and skin.
Event Overview Report
The Event Overview Report displays sales for one or more events. It is commonly used to settle sales after an event has taken place.
In the left column, select the events and settings to be applied to the report.
Transaction period
- You can configure the report to display sales only within a specific date range. Simply tick the checkbox and select the desired dates.
Events
- Changing the event filter dates will update the list of events displayed, allowing you to review sales for past events as well.
Organisation
- Updates the event list to show events that belong to the selected organisation(s).
Select events
- It is possible to view all events or filter on a chosen event group. To include events in the report, hold down Ctrl and click to select the desired events (or press Ctrl+A to select all events). To select a range of events, hold down Shift and click the first and last events in the range; all events in between will also be selected.
Type
- Select what information should be included in the report.
- Ticket types, Price, PriceZone, Users, Section, Reserved, Allocated, Fees, Organisations, Skin: Shows the sales figures in a separate table for each type.
- Show VAT / Sales Tax: Will show the revenue including and excluding VAT / Sales Tax.
- Only subscriptions: Displays only tickets sold as part of subscriptions.
- Split by dates: Will split the report to show one section per selected event, if not selected the sales of all selected events are accumulated in one report.
- Select what information should be included in the report.
Allocation Filter
- The allocation filter allows you to include or exclude specific allocations. The include option will only show sales of the selected allocation(s), the exclude option will show all sales except for the selected allocation(s).
Sale Summary
The Sales Summary is a detailed overview report of all sales within a specified date range. It can be configured to group sales by day, week, or month, making it ideal for analysing longer periods, such as a month or a year.
Graph
The graph shows all sales for the selected date range based on the chosen report type (day, week, or month). It is interactive, allowing you to click on a sales type at the bottom of the graph to hide or show its line in the graph. Hovering over a sales type highlights its line, while hovering over a point (e.g., a specific month) reveals the sales data for that point.
Table
The table below displays all sales for each point (e.g., each month within a year). You can filter the table using the search box. For example, if the report type is set to Show sales by day, you can search for Friday to view sales only on Fridays.
Year, Date, Weekday
- Year, date or time.
Tickets
- Number of sold tickets, both online and in BoxOffice, not including tickets in subscriptions.
FreeTickets
- Number of generated free tickets.
Revenue
- Revenue on sold tickets, not including tickets sold in subscriptions.
SubTickets
- Number of sold tickets in subscriptions (online and BoxOffice).
FreeSubTickets
- Number of generated free tickets in subscriptions.
SubRevenue
- Revenue on sold tickets in subscriptions.
SoldOnline
- Number of sold tickets online.
FreeOnline
- Number of free tickets sold online.
TicketsOnline
- Total number of online sales, sold and free combined.
SoldBoxOffice
- Number of tickets sold in Box Office.
FeeBoxOffice
- Number of free tickets sold in Box Office.
TotalBoxOffice
- Total number of tickets sold in Box Office, sold and free combined.
TotalSoldTickets
- Total number of sold tickets (online and BoxOffice), including tickets sold in subscriptions.
TotalFreeTickets
- Number of total generated free tickets (online and BoxOffice), including tickets sold in subscriptions.
TotalTickets
- Total number of generated and sold tickets, including free tickets and tickets sold in subscriptions.
TotalTicketRevenue
- Total revenue for all sold tickets, including tickets sold in subscriptions.
GiftCardsBO
- Number of sold gift cards in BoxOffice.
GiftCardsWWW
- Number of sold gift cards online.
GiftCardsRevenue
- Revenue for all sold gift cards (online and BoxOffice).
TotalRevenue
- Total revenue for all sold tickets and gift cards.
Import
- Overview of all imported tickets.
