Subscriptions
A subscription is a package that allows the sale of a series of performances or events, usually at a discounted price.
There are two different subscription types:
- Fixed subscription: the customer purchases tickets to a selection of predefined events.
- Flexible subscription: the customer selects x amount of events from a list of events.
Create subscription
In order to create a subscription, you must first create the desired ticket types (subscription type) and add them to the events you want to include in the subscription. Ticket types are created via Administration > Tickets > Ticket types.
Subscription X includes Event 1, Event 2 and Event 3. Those three events include ticket type Subscription X that is €20 per event. The total price for the subscription will then become €60.
To create subscriptions, navigate to Administration > Subscription and click Add subscription in the top right corner
Information
Name
- Name of the subscription.
Abbreviation
- Shown in the order and on the sales dashboard.
Season
- Used for reporting purposes.
Type
- There are two different subscription types:
- Fixed subscription (Specific events), where the customer purchases tickets to a selection of predefined events.
- Flexible subscription (Choose from multiple events), the customer selects x amount of events from a list of events.

Same seat
- Only available for specific events subscriptions, defines whether the subscription should force the same seat on all events or not.
Color
- Colour of the subscription label.
Show label
- If yes, the subscription label is displayed on the sales dashboard. Indicating if an event date is also included in a subscription.
Heading / Description
- Visible in the online flow.
Min events
- Functionality depends on the type of subscription:
- Flexible subscription: The minimum amount of events that the customer has to select in the subscription.
- Fixed subscription: Minimum amount of events that need to be left in the subscription before sales stops.
E.g.: A subscription includes 5 events, min is set to 3. It is possible to purchase the subscription as long as there are 3 future events left.
- Functionality depends on the type of subscription:
Max events
- Only used for Flexible subscriptions, defines the maximum amount of events that the customer can choose.
Min & Max tickets
- Minimum and maximum number of subscriptions a customer can purchase per order.
Ticket layout
- Specify a dedicated ticket layout for each connected printer type if it should be different from the default one. The ticket layout defined here is the subscription layout, which includes one barcode that can be used on all events in the subscription.

Ticket Types
- Select which ticket types should be connected to the subscription. Options are shown in the the left column and selected ones in the right column. Only ticket types of the type subscription or both are displayed in this column.
- Default ticket type: If more than 1 ticket type is selected, this setting defines which ticket type is displayed first.

Event Groups
- Select which event groups should be included in the subscription.
Event
- Select which event dates should be included in the subscription.
Main hall / configuration
- Select which hall and configuration should be the main one.
Internet
Available online
- Set to yes if the subscription should be available for online sale.
Sales start & end
- Define between which date and time the online sale should be available.
Visible online
- Define when the subscription should be visible online. The ticket buyer will not be able to see any information about the subscription except the start sale date.
Delivery types
- Select which delivery types should be available.
Subscription type
- Define how the subscription should be named in the online flow.
Subscription, Season card, Season ticket or package.
- Define how the subscription should be named in the online flow.
Event type
- Define how the events within the subscription should be named in the online flow. Event, Show or Concert.
Skin
- Choose the skin / branding for the weblink.
The skin is not saved on the event, so select the correct skin before copying the link.

Weblink
- Link to the online sales flow of the subscription.
Group tickets
- If set to No, each individual event is shown with seat information (row, seat, price etc.).
If set to Yes, one row is shown for the whole subscription. Flexible subscription in combination with Yes removes the possibility to choose specific seats online.
- If set to No, each individual event is shown with seat information (row, seat, price etc.).

Allow change
- Define if and how ticket buyers should be allowed to change events online after purchase has been made.
- No: Not allowed to make online exchanges
- Within the same event group: Exchanges are allowed to another event within the same event group that the event you change from is included in.
- Event groups in subscription: Exchanges are allowed to all events within the event groups that are included in the subscription.
- To any event group: Exchanges are allowed to all event groups that allow exchanges.
The subscription ticket type must be added to the events and set with access rights Box Office and Online.
- Define if and how ticket buyers should be allowed to change events online after purchase has been made.
Change outside subscription
- If set to yes, exchanges are allowed to event groups outside the subscription.
Select price zones
- Should the price zone be visible as a parameter in the online buying proces? If set to No, the best available price zone will be automatically selected. If set to Yes, the customer can choose the price zone.
Numbered seating view
- Select whether customers will see the hall map in the online buying process.Either use event settings or a dedicated setting for the whole subscription.
- Use event settings: Uses whichever setting is selected on event level.
- No hall view mode: The hall is not shown in the online buying process.
- Hall view without manual selection: The hall is shown, but the customer can't change the selected seats.
- Manual seat selection: The hall is shown and the customer is able to change the selected seats. No seats can be left empty between sold orders and seats can only be moved/selected together.
- Manual seat selection any seat: The hall is shown and the customer is able to change the selected seats. Seats can be left empty between sold orders and individual seats in multiple sections can be selected.
- Select whether customers will see the hall map in the online buying process.Either use event settings or a dedicated setting for the whole subscription.
Pick seats first
- Set if the customer should select their seats or ticket type / number of tickets first in the online buying process. If yes, the customer can select a seat for each event in the subscription.
Permissions
- Select which permissions should be connected to the subscription. A permission that is connected to the season will automatically be connected to the subscription within that season.
Web trackers
- Add subscription specific Facebook Pixel, Google Analytics or Google Tag manager. General web trackers are placed on the skin.
Internet +
Customer tag
- Add a customer tag to the subscription. Logged in web profiles with the specific tag can then get access to tickets for the subscription before general sale start or special ticket types that are not available for general sale.

Allocation
- It is possible to allocate seats in the event specifically for subscription sales. These seats will then not be available for general sales.
- Only allocated seats: Only allocated seats are available in the subscription, once the allocated seats have been sold the subscription can't be bought anymore.
- Allocated first then regular seats: First all the allocated seats will be sold, as soon as those are all sold the regular seats will become available in the subscription.
- It is possible to allocate seats in the event specifically for subscription sales. These seats will then not be available for general sales.
E-mail template for online sale
- Select whether to use the default confirmation e-mail layout or a dedicated one for the subscription. When the customer buys multiple items in one order, the default template will be sent.
Suggest on event
- If set to yes, customers purchasing specific events that are also included in a subscription will receive a pop-up notifying them that the event is also part of a subscription.
Customer information on each ticket
- If yes, the customer needs to enter a unique name, email address or phone number for each ticket in the order. The information can be entered from the online receipt page. This information needs to be provided in order to be able to download the tickets.
- Information text: Information text that is shown to the customer on their online receipt page, could be used to explain what is required and why.
- Force unique: Select if the name, email, mobile number or a combination of them must be unique on each ticket in the order.
- If yes, the customer needs to enter a unique name, email address or phone number for each ticket in the order. The information can be entered from the online receipt page. This information needs to be provided in order to be able to download the tickets.
Event positions
- By default all events within a subscription are ordered by event date and time. It is possible to change this order by moving around the event groups.
Queue-IT
Queue-IT is a virtual queue that can be setup for events where traffic is expected to be very high. Customers will be directed to the queue and then the queue admits a limited amount of customers into the buying process continuously.

Access
Under the Access tab it is possible to bulk edit access rights for ticket types included in the subscription. It is also possible to schedule ticket types for all events in the subscription in one go and to add voucher codes.
Products
Connect subscription products to the online sales flow without having to connect the product to each individual event.
Renewal from
It is possible to renew fixed same seat subscriptions.

Subscription
- Select the existing subscription you want to renew.
Start renewal
- The moment the renewal becomes available to purchase in the online account of the customer.
End renewal
- Set until which date can the customers renew their subscription.
Allow changes
- Set to yes, if customers are allowed to exchange tickets in their renewal reservation.
Send subscription renewal e-mail
- Set to yes to send all renewal customers an email notifying them their subscription renewal will expire. Email can be sent x amount of hours before the renewal will expire.
Ticket types
- Set which ticket types should be renewed. When old ticket types are to be renewed to new ticket types, map them to the correct ticket type.
Renewal process
- All new subscriptions need to be created in Tixly.
- Once we have all the information, we need 3 weeks for the renewal process.
- We create reservations which the buyer can see in their online environment and has the choice to renew.
- When this is done the theatre pulls a report (reports > subscriptions > sales, select the right season and use report type reserved tickets) with all renewals. An email can be sent to the buyers via an external mailing tool (eg. MailChimp). The reservation payment links could be included in this email.
What do we need to know?
- ID’s of the new subscriptions to which need to be renewed.
- When the customer has multiple subscriptions that need to be renewed, must the renewals be in separate reservations or can all renewals be combined in one reservation?
- Does the customer need to be automatically logged in when following the reservation link?
- Are there unnumbered events in the new subscription?
- When do the renewals need to be ready? This is another date than set as the renewal start so emails can be prepared and renewals can be checked.
What are the basket settings?
There are several options:
- No: the customer doesn’t see the basket, no changes allowed (eg. upsell) and they can only pay.
- Simple: the customer can open the basket and can make changes to the order (eg. upsell).
- Advanced: the link automatically redirects the customer to the basket and can immediately do changes (eg. upsell).
Organisations
Even though the subscription can only be owned by one organisation, it can be shared with other organisations who can then also sell tickets for the subscription.
Finance
If required, add an external reference number, department, account and/or dimensions to the events. These numbers will show up in several reports and the finance export.
Translations
Add translations for online and ticket elements to activated languages.
