Overview

Tixly contains many standard reports for various needs and purposes. In this article, we briefly explain the following:

Reports Overview

1. The user tix.uk includes all online sales. 
2. Manual GDPR means that the customer has requested to be anonymised.
3. All reports can be exported to Excel or CSV.
4. Most customer reports include the option to hide columns from the view.

Daily Sales

The most commonly used sales report. It shows ticket sales for events based on transaction period or event date period or a combination of both (e.g. all sales in January for events that are held in February). Can be set to show VAT and specific allocations can be included or excluded.

Includes

  • Sales per event date or event group
  • Sales per ticket type
  • Sales per user
  • Sales per day
  • Free tickets per event date or event group

Customers 

Sales

The customer report in Tixly shows a list of customers based on chosen events and report type. The types that can be generated are:

  • Sold tickets
  • Reserved tickets
  • All tickets (both sold and reserved)
  • Not printed tickets
  • Invitation (Only free tickets)
  • Deleted tickets
  • Customer & Seat info
  • Reserved seat info

Customer & Seat info shows one row per ticket. This type is mostly used as a guest list or to export barcodes.

The report includes all information about the customer and the order such as: customer information (name, address, phone, email etc.), link to online receipt, scanning information (is the ticket scanned, when, and by who), permissions, payment type and alternative emails.

Tags

Generates a customer list based on if a customer has a specific customer tag. The report includes all customer information, when the customer got the tag and if applicable when the tag expires. When multiple customer tags are selected, the report will show one row per customer for each tag. 

Benefit usage

The benefit usage report tracks how often a customer has used the benefits that are connected to the customer tag. The report will include one row per customer, per ticket type. 


Geographic

The Geographic Report shows number of sold tickets per event divided by country. Commonly used by promoters of international events.


Settlements - Promotor Settlement

Report showing the gross and net ticket revenue for a production, grouping revenue by event date and ticket types. The report also includes an overview of the payment methods and commissions used for that production. 


Event Overview Report

The Event Overview Report is commonly used to settle sales after a show has been held. It can be generated for specific events or multiple events and filtered by transaction dates.

Includes

  • Sales divided between regular sales, subscription sales and free tickets in regular and subscriptions
  • Sales by Ticket Types
  • Sales by Price
  • Sales by Price Zone
  • Sales by User
  • Sales by Section
  • Allocation by type
  • Reserved by Ticket Type & Price
  • Sales by Ticket Types & Organisation
  • Fee sales
  • Sales per organisation
  • Sales by skin 

The report can also be filtered to show only sales in subscription and be setup to show columns for VAT/Sales Tax.


Subscription

Tixly includes 3 different reports for subscriptions that are explained below.

Sales Summary

Sales Summary shows subscription sales per subscription based on a transaction period.

Includes

  • Total subscription sales divided on sales type (fixed seat, flexible subscription etc.)
  • Sales by event group that are part of a subscription
  • Sales by event date that are part of a subscription
  • Sales by event group that are not part of a subscription
  • Sales by event date that are not part of a subscription

Customers

The Subscription Customer Report is similar to the event customer report and shows a list of customers based on selected subscriptions. It can be generated to show:

  • Sold tickets
  • Reserved tickets
  • Not printed tickets
  • Customer & Seat info (one row per ticket)

In addition to this, if report type is set to Fixed subscription seat info, the list will show the original seat that the customer has, not taking any changes into account. Used commonly in renewals.

Statistics

The Statistics Report shows statistics based on selected subscriptions. The report also shows the movement of subscribers when renewing in a sankey diagram.


Daily Settlements

Cashier report

Frequently used by Tixly users to settle daily sales.  Can be generated to Display all orders (Report type) over a defined date period. If you are using this report and have the user right Can use cashier filters the following filters become available: 

  1. Users and Users group

    1. Use to filter the report to show only their sales. ..
  2. Owner organisation

    1. Show sales made for items owned by this organisations

The report shows sales grouped by:

  • Per type (tickets, product, subscription, fees, gift card etc.).
  • Per event date or event group.
  • Per product.
  • Per payment type.
  • Per user/seller.
  • Made by invoice.
  • Made as a partial payment.
Display all orders shows all individual orders that make up the numbers in the report. The order number is clickable and will take you straight to the order card. 

Payments

The Simple version of the payments report shows which payment methods have been used within a specified data range and the total amount per payment type. The Display all orders version shows all the orders and customers per payment type. 

Invoices

The Invoices report can be used to pull a list of all orders that have invoice as the payment method. The report can be filtered on transaction period, invoice status and seller (user). By clicking on Edit statuses the invoice status can be changed to: 

  • Pending
  • Sent to invoice
  • Invoiced
  • Partially paid
  • Paid 
  • Error

Late Payments


Displays how many orders have a late payment, which means the payment came back successful after the online reservation has already expired. So the customer paid, but did not receive any tickets, since the payment could not be connected to the reservation anymore. 

The report can be filtered to only show orders that still have to be checked, tos show all cleared orders or both combined. In the column on the right the status can be changed to indicate the status of the order. Once an order is set to cleared it will disappear from the list (when filtered to only show open orders).


Product Sales

Per sale / event date

The top column shows a summary of the product sales and income per product. The bottom column shows customer and event information for the orders that include the product. The drop down at the top of the second column allows you to filter the customer list for a specific event. Can show sold, reserved or all orders. 

Simple

The simple version does not include the summary at the top and most of the customer information fields are not displayed. 

By event dates (seat info)

The seat info report can be used to prepare products that should be on the seat or brought to the seat. The report includes product, event, seat and customer information.

Stock management

When the purchase price and stock have been added on product level, the stock management report will show the value of the stock and the potential revenue.


Sale Summary

Shows detailed sales based on transaction period and divided per day, week or month. Commonly used to review sales over a longer time period. 

Includes sale of:

  • Tickets
  • Free tickets
  • Subscription tickets
  • Gift cards
  • Sold online
  • Sold in BoxOffice

Card Transactions

Transaction list of all payments made via POS and online PSP (card and mobile payment) based on transaction period and user(s). If the user field is left empty, all users will be included in the output.


Weekly Sales

Displays weekly ticket sales by transaction period, broken down by event group. Darker green boxes indicate higher ticket sales.


Organisation Settlement

The Organisation Settlement report helps settle sales between organisations, listing all orders and revenue made by one organisation for another.

Event projection

This tool helps project revenue for an event date, letting you see how different ticket types or prices impact total revenue. You can also check how many tickets need to be sold per price zone or ticket type to hit your revenue goal. Projections can be based on sales from a past event.


Permissions

Used to download a list of all ticket buyers that have opted-in or opted-out of a certain permission. List can be downloaded as CSV with name, email or mobile and timestamp. The red box shows email permissions, the blue box shows SMS/mobile permissions, and the yellow box displays the count of unique active customers with the selected permission. The export includes all customers who have opted-in at any point, so there may be duplicates in the list.

Gift Cards

This report includes all gift card information within a specified date range. 

  • The green box displays the total value of sold gift cards. The first table provides an overview of all orders, including customer and gift card details. The order number in the first column is the order that includes the gift card. 
  • The red box displays the total value of used gift cards. The second table provides an overview of all gift cards that were used, the amount that was used and when the gift card was used. The order number in the first column is the oder the gift cards was used on. 
  • The yellow box displays the total value of expired gift cards. The third table provides an overview of all gift cards that expired, the remainder on the gift card and when the gift card expired. The order number in the first column is the order that includes the gift card, the order will be included in the past events overview of the customer card. 
  • The blue box displays the total value of all unused gift cards. The date provided in the gift card status (date) filter is connected to the blue box and makes it possible to check the status in the past and future, taking into account the expiry date. Clicking on the blue box opens a list of all unused gift cards, allowing you to contact customers who still have an active gift card.

Special Offer

Report showing numbers for sales and customers in special offers.

Sales

Sales made through Special Offer links can be filtered by event and displayed by special offer or individual event date. The report will show the total amount of tickets sold per special offer / event date and the total revenue. The table at the bottom shows the sales split per day. 

Customers

Provides a customer list for sold or reserved tickets in special offers. The report includes all customer and order information. 


Events with fee revenue

Displays sales figures, including ticket fees, for event dates based on specified transaction periods. The data can be filtered by user.

If no user is selected, the output will include all Box Office users and online sales. 

Finance Export

Report to be imported into finance/accounting software. Created in the finance export module Administration > Integration > Finance Export. Can be generated for selected users and for a specified time period.

Memberships

The membership report can be generated based on various filters, based on the desired output:

  • Transaction period
  • Expiry period
  • Reserved 
  • Deleted

Additional filters let you include or exclude memberships with a renewal and/or mandate.

The top table shows customer and membership details, while the bottom report displays the number of current memberships, as well as those sold, expired, renewed, or deleted during the selected period.

The mandate column indicates whether a payment was made using a method that can be automatically renewed after the membership expires.


Donations

This report lets you generate a list of customers who have made a donation. You can select a specific donation and use the date filter to specify the transaction period. If Gift Aid is offered, you can filter to show only Gift Aid donations and export a specific report (ODS).


Recurring payments 

Recurring payments are charged automatically to a customer's credit card or bank account at periodic intervals, mainly used for automatic membership renewals. The report can be generated based on the payment status and filtered based on when the recurring payment was created, scheduled or processed. If a payment fails, the error code and error message will be displayed in the report. 


Ticket Breakdown

Provides an overview of ticket sales with a breakdown of various fee and commission elements. You can choose to pull data for fees/tickets only, or a complete overview of both.


User Access

The User Access report provides an overview of all users and their current rights and group. There are options to filter on the date users were last updated and it's also possible to include deleted / inactive users.


Event Availability

Overview of event capacity and projected value of reserved and available tickets.


Payment Commissions

Payment commissions can be added to payment types, allowing the venue to keep a percentage of the sales revenue from the payout to the promoter. The payment commission is set per payment type and the reporting on those commissions is included in this report. Showing the distribution of used payment methods for events, including commission values if applicable.


Order Overview

This report displays all orders, regardless of their content or status, and offers various filters to refine results based on dates, payment statuses, customer tags, organisations, order content, order amount, and more. Can be viewed based on when an order was created, expired or sold.

A common use for this report is to see how many orders customers with a specific tag have made and the total amount spent within a certain time period. This report can do that and much more.


Accumulated sales

The Accumulated Sales report displays sales per event group for the last 24 hours and overall. It shows the number of tickets sold and reserved, along with the revenue for both, including any applicable fees.


Event Occupancy

Shows an overview of sales and reservations per event or event group. The revenue is shown including and excluding any fees.
