Memberships & Donations
Memberships and donations are part of the same module in Tixly. Memberships can be used to give customers access to benefits such as pre-sale, discounted prices or no order fees. Donations can be used to collect money for charities and funds.
Add membership / donation
To create a new membership or donation, navigate to Administration > Membership > Memberships and click Add membership in the top right corner.
Information
Name
- The name of the membership / donation. Shown both in Box Office and online.
Organisation
- If there are multiple organisations, select the correct organisation.
Abbreviation
- Short abbreviation for the membership / donation.
Price
- Price of the membership. Can be kept to 0 for donations.
Limit price
- In the case of a donation, a limit price can be set. Customers won't be able to donate more than the set amount.
Vat / Tax
- Select the correct VAT / TAX percentage.
Color
- Select a colour for the online buying flow. A colour must be selected, otherwise the purchase button will not show.
Type
- Select if it is a membership or a donation. This can't be changed after saving.
Member count
- Set how many people the membership is valid for. The membership may be shared with one or more customers after being sold. The membership can then be connected to the other members in Box Office.
Set Box Office sales period
- It is possible to define when memberships / donations are available for sale in Box Office.
Tagline
- The membership sales pitch. This will be shown in the online buying flow.
Short description
- A short description shown in the online flow.
Long description
- A longer description shown in the online flow.
E-mail receipt text
- A variable can be added to the online and Box Office confirmation emails, the variable will be replaced by the text entered here.
GiftCardGroups
- Select which gift cards can be used to purchase the membership.
Benefits
- Choose the amount of benefits the customer receives and describe what the benefits are as free text. These will be added as bullet points in the online flow.
Number
Use sequence
- If yes, consecutive numbers are used. If no, the numbers will be issued in random order.
Number start
- Define at which number the sequence of numbers should start.
Number end
- What is the highest possible number in the sequence. This number should at least have as many digits as the number length.
Number length
- Specify how many digits the number should consist of.
Prefix
- Specify whether the number should contain a prefix.
Postfix
- Specify whether the number should contain a postfix.

Valid / Renewal
For renewals there are two possibilities:
- Automatic renewal is only available with some payment providers, the payment will be automatically taken when the membership renews. For more information please contact Tixly Support.
- Manual renewals will create a reservation with the new membership and sends an email to the customer with information on how to pay for the order.
Renewal
- Does the membership have an annual, monthly or no renewal.
Renew time
- If the membership has a yearly or monthly renewal, you can select a fixed date or from date of purchase renewal.
- Fixed date: Specify the exact day of the month and month of the year the membership will be renewed. e.g. day 11 and month 10 will renew on October 11th.
- From date of purchase: Specify an interval for the renewal. e.g. an interval of 2 means a renewal every 2 years or 2 months.
- If the membership has a yearly or monthly renewal, you can select a fixed date or from date of purchase renewal.
Valid time
- If the membership does not have an renewal, you can select how long the membership should be valid for.
- Fixed date: Specify the fixed date on which the membership will expire.
- From date of purchase: Specify how many months after purchase the membership will expire.
- If the membership does not have an renewal, you can select how long the membership should be valid for.
Description
- Displayed in the last step of the buying flow just before going to the payment gateway. Can be used to explain how the renewals work.
Start renewal days before expiry
- Specify the number of days prior to the expiry date that the membership will be renewed.
- If it’s an automatic renewal this is the date where the system tries to withdraw money from the customer’s bank account.
- If it’s a manual renewal this is the date where the system will generate a new reservation with a membership that the customer needs to pay to renew the membership.
- Even if the start renewal is set before the expiry, the new membership will be valid from the date the old membership ends.
- Specify the number of days prior to the expiry date that the membership will be renewed.
Grace period after failed renewal
- The number of days a membership will still be valid after a failed automatic renewal. After this grace period the renewal is turned into a reservation for manual payment.
Email
- Several different emails can be sent automatically when a membership is renewed, or when a membership needs manual payment.
An example: If a client has bought a membership on January 20th, 2023 with an expiry time of 12 months, a Start Renewal days of 10 and a grace period of 20, the reservation will be made on January 10th 2024 and an email is sent to the customer about how to renew the membership on that day. This reservation will be valid until January 30. No matter when the customer pays for the reservation after January 10. and before January 30th, the new membership will be valid until January 20th 2025.
Changes made to a membership (e.g. expiry date) will only apply to new sold memberships. It will not change memberships already registered on customers.

- Set when the membership should be visible online.
Online sales
- Select whether to use the default confirmation e-mail layout or a dedicated one for the membership / donation. When the customer buys multiple items in one order, the default template will be sent.
Delivery types
- Select a delivery type for the membership, needs to be the type mobile if the customer should be able to download a membership card (wallet or pdf).
Additional Terms And Conditions
- It is possible to create membership specific terms and conditions that the customer needs to agree with during the online purchase.
Finance
If required, add an external reference number, department, account and/or dimensions to the events. These numbers will show up in several reports and the finance export.
Layout
Under the layout tab a wallet membership card can be designed by changing the colours and adding a banner image. The logo in the top left corner will automatically be taken from the Mobile pass module. Here it is also possible to select a membership specific pdf template or if the default one should be used.
Groups
Once the individual memberships and donations have been created, you create a group to sell your memberships and donations online. This is done by adding a group via Administration > Membership > Groups.
Information
Name
- The name of the membership group, displayed in the online buying flow.
Organisation
- If there are multiple organisations, select the correct organisation.
URL
- Define a tag that will be added to the membership url.
e.g. www.theatre.com/memembership/tag
- Define a tag that will be added to the membership url.
Available online
- Set to yes to get the sales link
Skin
- Choose the skin / branding for the weblink.
Weblink
- Link to the online buying flow for the connected memberships / donations.
Description
- Text field that will be displayed in the online buying flow. Can be used to explain a bit more about the memberships / donations.
Selected memberships
- Move all the memberships / donations that should be available via this link to the right box. Memberships and donations can't be sold via the same link.
Position
- Drag the memberships / donations around to position them in the desired order.
Use membership online
To be able to give customers benefits online, they need to be provided with a customer tag. More information about adding benefits to a membership / tag can be found here.
