Finance Export
The Finance Export is used to export all sales from Tixly and import those into your financial system. Very simply described, the financial export is a cash report in a format adapted to financial systems, the event name may instead be replaced by a project number in the export.
To create a template for the finance export, please contact your local Tixly Support.
Finance numbers
On several different levels finance numbers can be added to the system. There is a field for Account, Department and Project (External Reference) number, as well as 8 free to use dimensions. When fetching finance numbers the system will first check the lowest level and then work its way up to check if finance numbers have been provided. With the lowest level being the individual items, then organisation level and the highest level is the workgroup.
WG level
Under the Finance tab in the Workgroup Settings default finance numbers can be defined. These numbers will be used if no numbers have been provided on organisation or item level. Workgroup level also allows you to fill out finance numbers for the difference and the service types.
Organisation level
Under the Finances tab in the Organisations module a default Account, Department and Ext. Ref. number can be filled out. As well as the finance numbers of the VAT accounts. These numbers will be used if no numbers are provided on item level.
Item level
Some items allow you to just add an Account, Department an Ext. Ref. Number (payment types), other items will also allow you to use the 8 extra dimensions (events / products / etc.).
Events have an extra level above them, which is the event group.
Finance Export setup
Setting up a new finance export can be done via Administration > Integrations > Finance Export. There are several different types of finance exports that can be set up and a few file settings that can be configured.
Manual file export
The file is generated via Reporting > Finance export, select a Date, User(s) and Report type, click on Run report. A .csv file is then downloaded to your computer, which you can then import into your finance program.
Automated file export
The exports can also automatically be placed on a ftp server. The ftp server needs to be hosted by the theatre and the files can be placed in a specific folder, based on the directory. Files can be exported on a weekly or daily basis at a specified time, and can include just Box Office, Online or All sales.
